TrackMyConf Privacy Policy

Last updated: August 22, 2026

TrackMyConf is operated by Jaqlor (“Jaqlor,” “we,” “us,” “our”). This Privacy Policy explains what personal data we collect through the TrackMyConf website, mobile app, and WhatsApp channel (together, the “Service”), why we collect it, who we share it with, and the choices you have. It applies to everyone who creates a TrackMyConf account or otherwise interacts with the Service.

If you have questions about this policy or how your data is handled, contact us at support@trackmyconf.com.

1. Who this policy covers

TrackMyConf is built for pharma, healthcare-IT, and cybersecurity professionals who want to track relevant conferences, deadlines, and key opinion leaders (KOLs) in their field. The Service is intended for use by adults acting in a professional capacity and is not directed at children. We do not knowingly collect personal data from anyone under 18. If we learn we've collected data from a minor, we will delete it.

2. Information we collect

2.1 Information you give us directly

2.2 Information we collect automatically

2.3 Information from third parties

3. How we use your information

We use your information to:

We do not sell your personal data, and we do not use your data to serve third-party advertising.

4. Automated processing and AI

TrackMyConf uses third-party AI models to help:

This automated scoring affects what appears in your feed and what you're notified about, but it does not make any legally or similarly significant decision about you individually (for example, it has no bearing on your access to the Service, your billing, or any right or benefit) — it only ranks and summarizes publicly available conference/industry content for your convenience. You can always browse, search, and dismiss conferences independent of the automated scoring.

5. Who we share information with

We share personal data only with the following categories of service providers, each of whom is contractually or otherwise required to protect it and use it only to provide services to us:

Category Purpose
Database, authentication, and backend infrastructure Hosting your account data, running the app's server-side logic
Payment processing Handling subscriptions and payments
Transactional email Sending notifications, digests, and support emails
Push notifications Delivering mobile push notifications
WhatsApp messaging Delivering WhatsApp reminders and support conversations, via WhatsApp's own business messaging platform
AI-assisted processing Conference/KOL data extraction, relevance scoring, and summary generation
Sign-in and calendar sync (optional) Authenticating you and syncing deadlines, if you opt in, via Google's sign-in and calendar services

We may also disclose information where required by law, to protect our rights or the safety of our users, or in connection with a merger, acquisition, or sale of assets (in which case we'll notify you before your data becomes subject to a different privacy policy).

6. International data transfers

TrackMyConf is built for an India-first audience, and our payment processing is India-based. Some of our infrastructure and sub-processors (including our database provider, AI provider, and push notification provider) operate servers outside India, including in the United States. Where we transfer personal data internationally, we rely on the standard contractual protections offered by these providers and take reasonable steps to ensure your data continues to be protected consistently with this policy.

7. Data retention

We retain your personal data for as long as your account is active. If you request account deletion:

You can request deletion at any time from within the app, or by emailing support@trackmyconf.com.

8. Your rights and choices

Depending on your location, you may have rights to access, correct, export, or delete your personal data, and to object to or restrict certain processing. You can exercise most of these directly in the app:

For any request we can't fulfill directly in-app, email support@trackmyconf.com and we'll respond within a reasonable time.

Grievance Officer (India)

In accordance with applicable Indian law, including the Information Technology Act, 2000 and rules made thereunder, and the Digital Personal Data Protection Act, 2023, our Grievance Officer can be reached at:

Aasa Singh
Email: aasa.singh@jaqlor.com

9. Security

We use industry-standard measures to protect your data, including encryption in transit, access controls limiting who at Jaqlor can access production data, and database-level access rules that, by default, restrict each user to their own data. No system is perfectly secure, and we cannot guarantee absolute security, but we take reasonable steps to protect your information and to respond promptly to any incident.

10. Cookies and similar technologies on the web app

The TrackMyConf web app (trackmyconf.com) uses strictly necessary cookies/local storage to keep you signed in and remember your preferences.

11. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we'll notify you by email or through an in-app notice before the changes take effect. The “Last updated” date at the top of this page reflects the most recent revision.

This document was drafted to reflect TrackMyConf's actual data collection and processing as of the date above. It is provided as a thorough starting point, not legal advice — we recommend having it reviewed by a lawyer familiar with Indian data protection law (the DPDP Act, 2023) and, if you serve users outside India, any other applicable regimes (e.g., GDPR) before publishing.
